We built the Akiloc app from scratch for this commercial vehicle rental company, replacing a shared Excel file and sticky notes with a fleet calendar where every operator can book, plus photo inspections on the tablet, customer signatures and contracts emailed on the spot.

The project
Akiloc rents vans and panel vans to individuals and businesses. Before the app, the team worked on a shared Excel file that only one operator could edit. The others wrote customer requests on sticky notes and handed them to that operator, who also had to sort out the cases where the same van had been booked by more than one colleague.
With the app, every operator books on the same calendar, every change is kept in the history, inspections and signatures are done on the tablet and the business figures are always up to date. In the founder’s words, it is what allowed the company to grow its number of branches without losing agility.
Inside the app
Bookings used to live in a shared Excel file that only one operator could edit: the others wrote requests on sticky notes and handed them over, and the same van could end up promised to two customers. Now every operator books directly on a calendar for each vehicle, split into morning and afternoon, and the history shows who changed each booking and when.
No more double bookings or sticky notes
At pick-up and return, the team marks damage on a drawing of the van, area by area, with photographs and notes. The app records who logged each item of damage and when, and shows any damage the vehicle already had.
Every item of damage backed by a photo, a date and a name
The customer signs on the tablet and chooses their marketing consents. The app generates a PDF report with the rental details, damage, photographs and signature, and sends it by email, with delivery and open tracking.
The contract reaches the customer before they leave the branch
A dashboard for each branch brings together the month's rentals, fleet, occupancy rate, breakdowns, accidents and cancellations, with daily detail that can be exported to Excel.
